ELDERS MEETING
October 7, 2020 The Circleville Christian Church Elders met on Wednesday, October 7, 2020 at the church. Elders present were David Allen, Paul Davault, Ron Parrett, and Chairman Lyle Alley. Kay Hallauer was also present. Lyle called the meeting to order at 7:30 p.m. and opened with prayer. His meditation was from 1 Cor. 12:12, where Paul refers to the body being made up of several parts but they all form one body and are equally important and valuable. A healthy church is composed of believers with various spiritual gifts, and it is important to become invested in God’s body and use those gifts for His service. Reading of Minutes from September meeting – Minutes had been distributed prior to the meeting, were reviewed by each elder, and were approved as written. Financial Report – Our checking account is showing a healthy balance. Each month recently a building loan payment has been made from the General Fund; an additional $2500 from the Building Fund has been applied towards the loan, as well as any pledges collected. At this rate, the building loan should be paid off in three years. As there were no further comments or questions, the report was approved. Old Business –

Elders Meeting Minutes
August 12, 2020 Present: Elders: David Allen, Paul Davault, Lyle Alley via Zoom Guests: Bill Dyer Absent: Elder: Ron Parrett (gone due to a death in the family) Lyle opened the meeting with Prayer. Adding to Agenda Lyle added two items were added to the agenda: 1. David Spencer requested to help select songs for August 30 service. 2. Getting a Gift Card for Kay Hallauer Agenda was approved 3-0 vote. Reading of Minutes from July Meeting The minutes were emailed out previously for everyone to read. Minutes were approved 3-0 vote. Financial Report Look at July 2020 financial statements provided to us by treasurer, Sally Jo Alley. Old Business When to Open Sunday School? It was decided not to open up Sunday School at this time. Bill Dyer’s adult class met on August 2nd, and has since decided to err on the side of caution and will not meet until he feels it safe to bring his class back together. We decided that it's not time to open up Sunday School classes at this time. We will discuss this again next month. Wednesday Youth Group David Allen told us that Alicia Spalding has agreed to head up the elementary youth starting after Labor Day. She will change the name of the children's youth group from Crusader Club. We are all excited about Alicia heading up that program. David Allen also shared that the JR/SR High Youth, coordinated by Ange Allen, will start on Wednesday, August 19, from 6:00 to 8:00 at the church. New Business Recognize Gary Bell as an Elder Lyle will recognize Gary Bell for his service to the Lord as an elder at the August 30th service. Discussion on who from the church would do a Funeral or Wedding in the Absence of a minister. Luke Schrieber, in the past, has filled the role for several funerals. We will continue to talk about this. Committees at the church. A new Committee was added; The Sound Booth Committee. Brad Alley has volunteered to chair this committee. This committee will be responsible for producing the in-house and the live-streamed church service. Sound, Video, Lighting, and Producing each service will be the responsibility of this committee. Other Committee are: Fellowship - Kathy Dyer, chair Funeral Dinner - Tammy Askren, chair Maintenance/Building - Bill Dyer, chair - will ask Travis Self to help chair. Grounds - Mark Fenton, chair Worship - David Allen, chair Education - Ange Allen, chair Elementary Youth - Alicia Spalding, chair Outreach - Andra Holliday, chair - Carol Buhler, co-chair Paul will create sign-up sheets for the committees. People will be able to sign up for committees they would like to work on for the upcoming year. New Keyboard - Lori Thomas inquired about the purchase of a new 88-key keyboard. The present keyboard is now 20 years old and is starting to show its age. Lori will be asked to shop around and report back to us what one might cost. We want Kay Halluaer to help in selection if she is willing. Renting the Parsonage: The Elders voted 4-0 (Ron voted earlier in a phone conversation earlier in the day) to rent the parsonage to Jake and Alicia Spalding for $500 a month and that will include utilities (gas, electricity, water, sewer, trash pickup) for one year. Internet, cable TV or satellite TV will be at their expense. We also asked them to keep the yard mowed and fix minor things that may need repaired from time to time. Paul will contact Dennis White about drawing up a Renters Contract. It was discussed that if there is not a need for the parsonage, to consider selling it. We have recently put a new roof on the house at a cost of $7,000 and are concerned that it could be a ‘money-pit’ over the new few years. It was noted that in today’s world, ministers are wanting to own their homes and that parsonages are possibly a thing of the past. This has been true for the past three senior ministers that we have had. We agreed that after one year of renting the parsonage to the Spaldings, we will list the parsonage to sell it. The money received from the sale of the parsonage will go directly to paying off the fellowship hall. Advent Sunday’s - Christmas Eve Service Lyle brought up continuing to have scripture reading and candle lighting for Advent Sundays during this Christmas season. Preliminary discussion about a Christmas Eve service has begun. Christmas is just around the corner and this will be discussed further as we approach the Christmas Season. August 30 Music Sunday In a phone discussion with Ron earlier in the day, he said that David Spencer would like to help select songs for the Music Service on August 30th. David Allen will call David and speak with him about the selection of songs. Lyle will call and remind Dale Askren and Gary Bell about speaking at the August 30th service. Gift Card The Elders voted 4-0 (Ron voted Yes in a phone conversation earlier in the day) to buy a gift card in the value of $50 for Kay Hallauer. Kay graciously takes the minutes of all church meetings and does it voluntarily and with great professionalism. We greatly appreciate what Kay does for our church. ELDERS MEETING January 22, 2020
The Circleville Christian Church Elders met on Wednesday, January 22, 2020 at the church. Elders present were Ron Parrett, Gary Bell, David Allen, Lyle Alley, and Paul Davault, in addition to Associate Minister Brandon Winters. Also present were Sue Davault, Beverly Kranz, and Bill Dyer. Meeting was called to order at 7:20 by Chairman Lyle Alley.
Open with Prayer – Ron Parrett opened the meeting with prayer.
Reading of God’s Word – Lyle’s devotional consisted of 6 passages of Scripture describing some of the duties of an elder. He discussed some of the ways in which the elders of our church fulfill these duties, and emphasized it is not a position they are to take lightly.
Adding and Approval of the Agenda – Agenda was distributed to all present, and Lyle asked for any additions. There being none, David moved the agenda be approved as presented, Paul seconded the motion, and it carried.
Reading of Minutes from December – Minutes of the December meeting were distributed to all present. After review, Ron moved and Gary seconded that the minutes be approved as written. Motion carried. It was discussed and agreed that after the minutes have been approved at each meeting, they would be posted on the bulletin board.
Guest Comments – Sue Davault and Bev Kranz expressed their thanks to the elders and Brandon for their work, and wanted them to know they are loved and appreciated.
Financial Report – Lyle distributed copies of the Financial Report to all present. The 1st page showed bank balances in the church’s 4 accounts as of 1-21-20. The next 3 pages showed year-end totals for all income and expenses, including the building payment. It was agreed that this report would be distributed at the Annual Meeting on Feb. 9.
Old Business – Brandon reported that Makenzie Kennedy hopes to open the Clothes Closet by the 2nd week of February. Next week several of our youth will be helping her get clothes sorted and ready to put out. Clothes are still being accepted if anyone brings them in.
New Business – Annual Church Meeting – The annual meeting is scheduled for Feb. 9. Lyle said the elders would need to meet to decide their vision for 2020, and 1 of the elders would present this at the meeting. Lyle said he could present the Financial and Building Reports. Also taking place at this meeting will be election of 2 of the elders – Paul and Gary. Filling the Pulpit – Schedule for the next 5 weeks is as follows: Jan. 26 – Luke Schreiber Feb. 2 – Luke Schreiber Feb. 9 – Doug Fletcher Feb. 16 – Luke Schreiber Feb. 23 – Luke Schreiber Several of the elders are meeting a couple men in Manhattan on Jan. 23 to discuss finding someone to help fill the pulpit on a week-by-week basis. Brandon has offered to help from time to time as needed, and Travis Wilson has also agreed to come speak one time. Brody’s Final Payment – Brody has been asked to clean out his office, submit a written letter of resignation, and return property owned by the church (keys, credit card, laptop, etc.). Upon those things being done, he will receive his final paycheck (salary and insurance through March). Brandon’s Cell Phone Information – The church phone will be added to Brandon’s personal account, and Brandon will be reimbursed for the additional monthly cost. This will save about $35/month from the previous cost. Discussion on Going to One Service – The possibility of returning to one church service has been discussed. Hopefully this would help provide unity and consistency, and give everyone a chance to fellowship with more people. It would also make it easier for substitute ministers. In addition, having one service would allow more people to be available as Sunday School teachers; we are currently needing a regular teacher for 2 classes (preK-Kindergarten, and Grades 3-4), as well as often needing substitute teachers. Discussion was held as to the starting times and date. Gary moved that as of Feb. 9, we start having Sunday School at 9:00 and church at 10:00; Paul seconded the motion, and it carried. This new schedule will be posted in the bulletin. Gary will call a meeting with both groups of people doing music, to plan how to implement this change. Hospital Visits – Brandon will be the contact person to notify regarding visiting someone in the hospital or having someone sit with family members at the hospital. There is a list of persons available to do this, and Brandon will contact one of these men for the visit, or he will go himself. Health Insurance – The elders are reviewing the health insurance plan on Brandon and his family. Website Information – Brad Alley handles the church’s website information; he updated information on the site last week. If other changes are needed, Brad should be contacted. Missions 2020 – David reported that the church spent 11.2% on missions in 2019. It was decided to continue the same support to the same missions in 2020. Committees – Paul reported that the elders will be looking at the current committees and doing some evaluating. They plan to ask the committees to meet at least quarterly and report to the Elders at least once/year. People are encouraged to sign up to help with committees, and a sign-up sheet will be on the bulletin board. Shut-Ins – Lyle will be redoing the list of shut-ins to be visited and will post the schedule in the church office. Small Groups – Forming small groups again may be discussed at future meetings. Greeters List – This list needs to be updated. Lyle will discuss this with Carol Fenton Medicalodges Church Service in December – Our church is scheduled to provide the church service at Medicalodges in December again this year. Women’s Bible Study – Planning is under way for a new women’s Bible Study, but they have asked if the church would pay for babysitting during the study. Paul moved we approve approximately $20 for babysitting each time, David seconded the motion, and it carried.
Minister Report – Brandon reported the following plans and ideas: Schedule of summer camps and activities at this point is as follows – June 7-12 Camp at Mission Lake Junior High June 11-13 Prairie Pickers fundraiser will need help with this as Brandon will be at camp June 14-19 Camp at Mission Lake High School June 21-25 Camp at Mission Lake Grades 3-5 June 26 Camp at Mission Lake Grades 1-2
July 6-10 CIY at Lincoln, NE Approximately 35 will be going, can add more registrations if needed. Discussion was held on whether to transport by bus or several vans. Only 1 bus is still running, and it’s unsure if it would be able to make that long a trip. Further discussion will be held later. Cost is $384/person, which covers lodging and food for the week. July 12-16 VBS Preschool-6th Grade
Brandon would like to have a Lock-In at the church sometime during the week of March 11 (Spring Break). This would include youth from the Soldier Church youth group. Dates are subject to change, depending on whether the girls’ basketball team goes to State. At this point Brandon doesn’t plan to make any changes in the youth leadership as a result of some youth leaders leaving the church. He plans to meet with all the current Youth group leaders next Wednesday to discuss the recent changes at church and how it impacts them. Brandon suggested getting a Men’s Breakfast started as a way to help the men of all ages at church get better acquainted with each other, share their lives, and just fellowship together. David suggested possibly starting out on a quarterly basis. Ben Bontrager has been awarded the Timothy Days Scholarship award at Manhattan Christian College. He graduates this Spring and will be starting at MCC in the fall. Brandon will announce this some Sunday at church. Brandon passed on some questions from Andra with regard to the church bulletin. He got updated contact information from the elders, and the group discussed the prayer list and how they wanted to present prayer concerns at the worship service. Brandon suggested every Fifth Sunday be designated as a Youth Sunday, with the youth group handling the service. Ron moved that this be implemented, Paul seconded the motion, and it carried. They will continue having fellowship dinners on these dates. No guest minister will be needed on these Sundays. Brandon has asked to be ordained, and the elders agreed. They will be discussing the ceremony for this and setting a date in the future. Brandon asked for clarification on his role going forward, as he is taking on several new duties. There was discussion regarding his helping at the end of the church service with baptisms or people joining the church, also incorporating a time for Children’s Church as part of the service. David suggested we first transition to 1 service before making too many more changes. Brandon may start doing announcements, the elders will take turns doing the prayer requests.
Calendar – Lyle presented the dates of several activities throughout the year. Among them was listed the Annual Meeting on Feb. 9, following a fellowship lunch; this is also the 1st Sunday we will switch to one service and be on the new time schedule. He also urged everyone to attend the Valentine Dinner on Feb. 23.
Next Meeting – Scheduled for Wednesday, Feb. 5, at 7:30.
Closing – David closed in prayer, and the meeting adjourned at 9:15.
